Audit Steps at Max Credit Hours

This page provides information about the course audit process. Outlined are the various ways instructors, advisors, and department staff are involved in course audit initiation and course audit authorization. 

Course audits are either initiated by a student in MyUI or initiated on behalf of a student in MAUI. In either case, actionable steps are required by both the student and department. 

Several scenarios are considered, as steps vary dependent upon who is initiating the course audit and if the student is at maximum credit hours when the audit is requested. In some cases, the steps a student undertakes within MyUI are included to demonstrate the comprehensive course audit process. 

Please Note:

  • Tuition is still assessed when a course is audited.
  • The amount is based on the minimum fee hours associated with the course.
  • Refer to the minimum fee hours in MyUI in the course description.

  • Course work for an audit must be discussed and approved by the instructor.
  • When at all possible, the course audit request and authorization processes should occur in MyUI and MAUI. 

Course Audit Process

Course Audit Process when Student is at Maximum Credit Hours

When a student wishes to audit a course they must enroll in the course for the credit hours designated for that course. If this registration will cause the student to go beyond their maximum credit hours for that session or semester, they will not be able to enroll and proceed with the audit request. 

In this case, the student must contact the department or their advisor to see if their maximum credit hours can be updated to allow enrollment. 

If approved, the student's maximum credit hours will be updated in MAUI and the department will then grant the student special permission to audit the course, which will allow the student to enroll in the listed credit hours. Because special permission is in place, the student will then be able to request to update their enrolled hours to zero. 

In the following example, the student is enrolled in 12 semester hours and their maximum hours are set at 15. The course they wish to audit is listed for 4 semester hours. Start to finish steps of the process in both MAUI and MyUI are provided below. 

Audit Process Steps when Student is at Maximum Credit Hours

Current enrollment_wants to audit 4 sh course_will put them over max credit hours.

Using Special Permissions tab choose Subject, Course, Section, check Allow Audit and Grant Special Permisison.

Message indicate permission saved and shows Audit=Yes for the course.

Student searches for course in MyUI.

Student clicks Enroll button.

Student clicks Add button.

Student is enrolled in course for 4 sh and clicks Change button to start hours change process.
Student selects Change Hours.

Student selects 0 credit hours and clicks Request Hour Change button.

Because special permission to audit was already applied the student's registration updates to 0 sh and total semester hours show 12 instead of 16.
