This page is for department administrators who manage enrollment for Master's, PhD, Postdoctoral and K-Awardee populations in Ethics/Principles of Scholarly Integrity/Responsible Conduct of Research courses.

In order for the enrollment process to be completed successfully, the following order of operations is required:

  1. Offerings Planner (section setup and section submission)
  2. Student Program of Study setup and verification
  3. Enrollment
  4. Grades

Offerings Planner

Once a course has been approved through Course Library, individual course sections are created by the department in Offerings Planner. These sections then replicate forward from like-session to like-session. The department should search for the course in Offerings Planner for the correct session, review the information, and submit to workflow for approval by the Office of the Registrar. 

Course sections must be Planner Status - Approved in order for students to be enrolled.

Postdoctoral & Faculty K-Awardees (faculty on NIH K-Award grant)

  • Sections: 7604 and 7605
  • Semester Hours: 0
  • Tuition/Fees: 0

Master’s & PhD students

  • Sections: 7270 and 7271
  • Tuition: paid by student
  • Fees: paid by student

 

Additional Information

  • 7604 & 7605 are made co-existing
  • 7270 & 7201 are made co-existing
  • 7604/7605 sections set to Administrative Registration Only by Office of the Registrar 
  • 7604/7605 are made fee exempt

Student Program of Study

Faculty (those on NIH K award grants)

  • This population needs to apply for and be admitted as a graduate non-degree student
    • $40 application fee - can be paid by the department

Postdoctoral

  • Do not need to apply for admission.
  • Program of Study is generated at the time of HR program enrollment in GRAD:7601 or GRAD:7602.
    • Post Doctoral PGT POS (program of study) is automatically created based on HR appointment.
      • Scenario 1: Post Doctoral PGT POS is added as primary if the student does not have any active primary program of study.
      • Scenario 2: If student has an existing primary POS (non-postdoc) and can return without going back through Admissions, Post Doctoral PGT POS is added as non-primary POS.
      • Scenario 3: All existing active programs of study are dropped and Post Doctoral POS is added as primary if the student cannot return without going back through Admissions.

Enrollment

The department notifies Reg-MAUI-Support when a new course is created (via course library) for addition to course restriction table. The course restriction table indicates which courses a graduate postdoc may enroll in. 

GRAD:7270/7271

Master's and PhD students directly enroll in MyUI. 

GRAD:7604/7605

  • Department reviews list of students for any holds and resolves holds prior to sending list to Reg-MAUI-Support.
  • After 1st day of the session, the department sends Excel list to Reg-MAUI-Support for 7604/7605 bulk enrollment.
    • List should contain UID, Session, Subject, Course, Section, Hours, and whether or not student is K-awardee

GRAD:7601/7602

On the first day of the session, Post Doctoral PGT students are automatically enrolled in these sections

  • Reg-MAUI-Support verifies Post Doctoral PGT students enrolled in GRAD:7601/7602 are K-awardees who have been admitted.
    • If yes, enrollment proceeds
    • If no, a notation will be made in the notes column on the spreadsheet to indicate why enrollment did not occur.

For GRAD:7601/7602/7604/7605

  • After attempted enrollment, Reg-MAUI-Support sends a return email to the department along with a spreadsheet.
    • Spreadsheet updates indicate unsuccessful enrollment notes for students; other students on list have been enrolled.
  • Department continues to monitor list of non-enrolled students for necessary admission or removal of holds.  Submits new updated list to Reg-MAUI-Support for enrollment.
  • Course enrollment, where feasible, should occur prior to the 10th day of the semester for students to be included in census counts. If after 10th day of the semester, lists of students to enroll may still be sent to Reg-MAUI-Support. When list is returned to department, Reg-MAUI-Support will include Cherrie Baird on response.

Please Note:

If student contacts the department to drop course enrollment in 7604/7605, the request should be reviewed by Shelly Campo unless the student is leaving the University.

Grades

GRAD:7601/7602

R grade is programmatically assigned through the grade load process. Course and grade appear on student's transcript.

GRAD:7604/7605 and GRAD:7270/7201

The normal grades process is followed for enrollments in these sections.
